Posting Details (Default Section) Posting Number 9002049 Title Student Services Specialist - Financial Aid Position Type Full-Time Department Financial Aid Job Summary This position aims to provide financial aid assistance to students and the community while keeping in compliance with Federal, State, and Institutional regulations.
Acts as the campus point-of-contact for students requesting to use Veteran Educational Benefits; for students requesting to use their Texas Hazlewood Tuition Exemption, for students interested in Federal Work-Study positions. In addition, this position assists in all facets of the Free Application for Federal Student Aid (FAFSA) process, from initial applications, verifications, awarding, accepting and disbursing aid to students. Be available to assist with all financial aid questions via person walk-ins, email, phone, text or high school and college FAFSA presentations. Provides research and resolution to complex financial aid award issues and data conflicts on student accounts.
Responsibilities and Duties: - Monitor, research and respond to internal and external customers who have issues, concerns or questions regarding financial aid progress, verification, awarding and disbursing. via various platforms, virtual student check-in system, financial aid email, Mongoose texting, phone and WebEX Teams/Meeting systems.
- Performs comprehensive student case management evaluations for NCTC students seeking or awarded financial aid to determine progress in the process for financial aid application submission stage, documentation verification stage, approval stage, the award stage, and the ongoing information update stage.
- Perform duties of Veterans Administration School Certifying Official. Collect, review, approve and request documents from new and returning student veterans. Answer all questions related to Veteran Educational Benefits as well as other veteran community and financial resources. Certify college enrollment status of student veterans through Enrollment Manager, Internet Based certifying system. Maintain and monitor veterans’ paper files inclusive of schedule changes throughout the term, suspensions, probations and graduations, and notifying Veteran’s Administration of these changes and determinations through Enrollment Manager system.
- Perform duties as the school point-of-contact for students applying for the Texas Veterans Commission Hazlewood Tuition Exemption. Collect, review and approve documents from new and returning students using the Texas Hazlewood Tuition Exemption. Compile, review and report end of semester usage of Hazlewood Tuition Exemption to Texas Veteran’s Commission.
- Perform the duties of the Corinth Campus point-of-contact for Federal/State Student Work-Study. Coordinate with Corinth Departments to create and promote new and open Work-Study positions. Work closely with Gainesville Work-Study Technical Specialist with regards to Work-Study openings, issues with payments, timesheets, etc. Request, review and approve documents for newly hired Work-Study positions. Collect, review and approve monthly Work-Study student time sheets.
Required Education
Responsibilities and duties Cont. : - Perform daily work processes that include reviewing student financial aid applications for eligibility when determining Direct Subsidized Loan Limits and Unusual Enrollment History (UEH).
- Request, collect, and review financial aid documents to complete the verification process for students who are required to submit additional documentation. While comparing data on the FAFSA application to the documents submitted. Determine if student’s verification is complete and update in PowerFAIDS for them to be processed and awarded for the academic year.
- Collect, review, research and award returning students their Texas Higher Education Coordinating Board state exemptions and or waivers in PowerFAIDS and Jenzabar EX based on current rules and regulations. Annually update Exemption/Waiver Manual.
- Assess students documents for satisfactory academic progress appeals, and determine their compliance with Federal Student Aid rules and regulations. Gather transcripts, advising worksheet, and complete an SAP appeal review form for each student submitting an appeal. Send financial aid appeal reviews to Satisfactory Academic Progress committee for their examination. Ensure members of the committee return appeals in a timely manner.
- Perform review of list of students who have not made a tuition payment (Backout List). Review students with unpaid balances for financial aid awards, issues, recent payments, adjustments to student schedules, etc. Assist student in completing missing information or retrieving and submitting needed information needed by financial aid. Call, email or text students who need help finishing their financial aid application.
- Other duties as assigned. Responsibilities and duties may change based ion the needs of the department and the institution.
Required Education:Minimum of an Associate’s Degree or equivalent higher education courses.
Required Skills & Abilities
- Ability to communicate, both orally and in written form, effectively with students and other campus departments as well as diffuse difficult, angry, or emotional situations with students and/or parents.
- Ability to listen to students and provide support and guidance to students and parents as they navigate the financial aid process, especially those who are first time students, are Veterans, or have unusual circumstances.
- Ability to operate a computer and basic knowledge of computer programs: outlook, word, and excel as well as learn institutional supporting programs and software
- Critical thinking skills, ability to problem solve, and ability to prioritize and manage heavy workloads, especially during peak enrollment periods.
- Typing and 10-key entry skills and basic knowledge of office equipment: copy machine, phones, fax machine
- Ability to understand federal financial aid programs, Federal financial aid regulations, and become familiar with Federal Student Aid Handbook, Title IV program fund regulations, Department of Education rules and regulations, Veteran certifying official handbook, Texas Veteran Commission regulations and State of Texas exemptions and waivers.
- Ability to understand current tax forms, Internal Revenue Service (IRS) regulations and IRS Tax guide and its implications pertaining to financial aid.
- Ability to research regulatory information to resolve complex financial aid questions.
- Ability to explain and calculate student billing as it pertains to student questions, veteran payments, Hazlewood payments, degree programs with partial financial aid eligibility, exemptions and waivers and concurrent enrollment.
- Ability to work independently and work under deadlines especially during peak enrollment periods as well as problem solve with other financial aid staff and campus departments, outside Veteran offices and parent institutions to resolve individual student issues.
